Stock guide

Know what is on the shelf without counting it.

Most stock problems in a small shop are not theft. They are a sale nobody noted, a batch that expired at the back of the rack, or a fast mover that ran out on a Sunday. Here is how to stay ahead of all three.

The short version: if every sale goes through the POS and every delivery from a distributor is entered as inward stock, your stock book keeps itself. Batches, expiry and alerts take care of the rest.

Start with the right products, not all of them

A typical kirana carries hundreds of items, but a much smaller set does most of the daily selling. Add those first with an honest opening count. Add slow movers when they come up at the counter or when the next supplier delivery arrives. A partial catalogue that is correct beats a full one that is wrong.

Let the bill do the counting

Stock moves in OrderEasy from the live quantity: each bill and each app order takes stock down, and each inward entry from a supplier brings it up. You do not maintain a separate register. If you want the counter to refuse a sale when stock shows zero, turn on block negative stock.

Loose and packed from one pile

Rice, dal, sugar and atta are often bought in big bags and sold both loose and in packs. With parent-child pack SKUs, the bulk bag and the packed item share one pile. Sell 1 kg loose or a 5 kg pack and the same stock goes down, so the count still matches the bags in the back room.

Batches and expiry for anything that goes off

  • Batches with expiry on products like biscuits, dairy and packaged food.
  • First in, first out. Batches are used in order, and an expired batch is never picked for a sale.
  • Expiry alerts show what is close to expiry while there is still time to put it at the front or return it to the supplier.
  • Write-off for damaged and expired stock, so the loss is recorded and the count stays true.

Never run out of the fast movers

Low-stock alerts flag items before the shelf is empty. When you buy, OrderEasy’s buying tools help: purchase orders to suppliers, minimum order quantities, and buying suggestions from what is actually moving. The shop OS page lists these in full.

Record what comes in, with the bill

When a distributor drops goods, record it as inward stock against that supplier and attach a photo of the paper bill. Stock goes up, the supplier khata shows what you owe, and the bill is findable later. The full flow is in supplier khata and purchase bills.

A weekly 15-minute routine

  1. Check low-stock alerts and plan the next order.
  2. Check expiry alerts and move short-dated items to the front.
  3. Spot-count five products and correct any that drifted.
  4. Look at the sales and stock reports to see what sold and what sat.

Questions people ask

Does stock update automatically when I bill?

Yes. Every POS sale and every app order reduces stock, so the next customer and the customer app see the real count.

Can OrderEasy track expiry dates?

Yes. Products can be tracked in batches with expiry. Expired batches are not picked for a sale, and you get alerts for batches close to expiry.

I sell loose from a big bag and also in packets. Can stock handle that?

Yes. Parent-child pack SKUs let a bulk bag and the packed SKU share one pile of stock, so selling 1 kg loose reduces the same stock as the 50 kg bag.

Can I stop the POS from selling something that is out of stock?

Yes. You can block negative stock so the till refuses a sale when the count is zero.
